Outsourced Bookkeeping for New Zealand Small Businesses
Philippine CPAs keeping your Xero file current — reconciliations, GST coding and payroll data prepared to a fixed monthly rhythm, ready for your accountant or tax agent to review and file with Inland Revenue.
This is outsourced bookkeeping run as a managed service: a remote team of qualified bookkeepers in the Philippines, working online inside your own Xero file to an agreed monthly scope — not a virtual assistant you have to brief and check.
What we prepare each month
- Bank and credit card reconciliations kept current, not caught up at period end.
- GST coding checked as transactions land, with a reconciled return worksheet at each period.
- Accounts payable and receivable processing, with one consolidated query list.
- Payroll data prepared for payday filing, including holiday pay and KiwiSaver schedules.
- Month-end reports, and a clean year-end file your accountant can work from directly.
Who files your GST return?
Your tax agent, through their IRD link — or you, through myIR. We prepare and reconcile the return so that the review is a check rather than a rebuild, and we hand over the schedules behind every figure.
Xero bookkeeping, properly maintained
Xero came out of New Zealand and most small businesses here run on it, which is exactly the problem: the software is easy enough that the file drifts quietly — bank rules applied too broadly, GST codes guessed, suspense accounts growing. We work in the file every week, so the drift does not accumulate into a year-end clean-up.
Common questions
Do you file our GST return with IRD?
No. Filing stays with your tax agent or with you through myIR. We prepare and reconcile the return and the schedules behind it.
What time do you work?
The Philippines is four hours behind New Zealand, and five hours behind during New Zealand daylight saving (roughly late September to early April), so our morning is your afternoon. Work issued at the end of your day is typically picked up the same day on our side.
We already have an accountant. Does this replace them?
No — it takes the monthly bookkeeping load off them. Your accountant keeps the annual accounts, the tax return and the advice, and receives a file that is already reconciled.
Is this the same as hiring a virtual or remote bookkeeper?
Not quite. A virtual bookkeeper is usually one person whose work you direct and check yourself. We run online bookkeeping as a managed service: a team of Philippine CPAs works to an agreed scope, covers leave and reviews the work before it reaches you or your accountant. We compare the two models in managed bookkeeping or a dedicated offshore hire.
Why bookkeeping from the Philippines?
Philippine CPAs are trained under Philippine Financial Reporting Standards, which are adopted from IFRS, and English is an official language of the country and the everyday language of business. The lower cost reflects Philippine salary levels, not a thinner process. What you should check with any offshore provider is who reviews the work and how your data is handled. We work inside your own file, so the records stay in your Xero organisation.
What does it cost?
From NZ$450 a month for up to 100 transactions, NZ$900 for up to 300, and NZ$1,700 for up to 700 with payroll and a year-end pack. Cheaper monthly packages exist. When comparing, check what each one includes: transaction limits, and what counts towards them, differ between providers.
Do you work in software other than Xero?
Yes — QuickBooks and MYOB as well.
We also work with businesses in Australia and the United Kingdom. See how the service works in full.
