Outsourced Bookkeeping for UK Small Businesses

Digital records kept properly in Xero or QuickBooks, VAT returns prepared and reconciled by Philippine CPAs, and a file your HMRC-authorised accountant can submit without rebuilding it first.

Making Tax Digital, without the quarterly scramble

Making Tax Digital assumes something that is often not true: that the digital records exist, are current, and are linked all the way through to the return. When the records are three months behind, the deadline is not an administrative task — it is a reconstruction.

We work the file continuously instead. Transactions are coded and reconciled as they land, the digital trail from record to return stays intact, and the period end is a review rather than a rescue.

What we prepare each month

  • Bank, card and merchant account reconciliations, kept current rather than caught up.
  • Purchase and sales ledger processing, with supplier statements reconciled.
  • VAT coding checked as you go, and a reconciled VAT return worksheet each quarter.
  • Payroll data prepared for your RTI submission.
  • Management accounts, and a year-end file ready for your accountant’s statutory work.

Who submits your VAT return?

Your HMRC-authorised agent, under their own authorisation — or you, from your software. We prepare and reconcile the return and hand over the schedules behind each box. Your accountant keeps the statutory accounts, the corporation tax return and the advice.

Work done while you sleep

The Philippines is seven hours ahead of the UK. Send a query at the end of your Tuesday and the work is usually done before your Wednesday starts — which, for monthly bookkeeping, is the difference between a week of back-and-forth and a single overnight turnaround.

Common questions

Can you submit our VAT return to HMRC?

Submission stays with your HMRC-authorised agent, or with you through your software. We prepare and reconcile the return and the schedules that support it.

Does outsourcing bookkeeping outside the UK affect our MTD compliance?

No. Making Tax Digital is about how records are kept and how the return reaches HMRC — digitally, with the links intact — not about where the bookkeeper sits. The records stay in your UK software throughout.

What about our data?

Your records stay in your own UK software throughout. Access is limited to the team assigned to your file, under confidentiality agreements, and you can withdraw it at any time.

Do you work in QuickBooks as well as Xero?

Yes, and in MYOB.

What does it cost?

From £220 a month for up to 100 transactions, £450 for up to 300, and £850 for up to 700 with payroll and a year-end pack. A fixed monthly fee, quoted once we have seen your file.

We also work with businesses in Australia and New Zealand. See how the service works in full.
